Jakob,
We had 48 trophies damaged which were shipped from China for the 2015 World Championship.
We had to:
1. Track down all players email addresses who were due trophies and attempt to contact them to get their physical mailing address. (There were some who never responded to our email attempts.) There is typically no need to request that players submit their mailing address when taking registration.
2. Contact the manufacturer in China and attempt to get them to agree that they were responsible for the cost. That alone took months. To the best of my knowledge, they did not agree and we absorbed the cost of replacement trophies. That is a very large expense, not to mention the shipping costs.
3. Come up with a redesigned trophy that we thought could have better odds of being shipped from such a distance to lower the risk of damage.
4. Get the manufacturer to agree that if this shipment was damaged they would be responsible for the cost.
5. Get all the trophies engraved.
6. Determine who would be shipping these trophies -- China or the organizers (Las Vegas).
7. As the above took SO LONG, we then decided to determine which players may be attending the 2016 World Championships and thought it best to have the 2015 trophies delivered there.
8. Get the manufacturer to agree to ship *and insure* both the 2015 and 2016 trophies in case of damage.
9. Have them all shipped to Monte Carlo in time for the tournament.
10. The 2016 trophies arrived on time, but the 2015 trophies arrived later. We were very concerned about this, but the shipment arrived while the tournament was in progress.
Therefore, it was not possible to get all of that accomplished within two months. We did our best to notify those players who were due to receive trophies and keep them up to date on our progress.
