I don't know the details of all the expenses, but as one who would like to be able to one day host an event here's some things I do know.
Minimum cost of flyers is $300. That seems to be the best price i heard from Gregg Cattanach, for a do-it-yourself internet printshop that you provided the files to, and all they do is print. Folding may be additional, I know Kinko's wants $1/fold.
Advertising. Ad rates in ChicagoPoint and Flint Area BackgammoNews are $65-70 for 1/4 page, $100-115 for 1/2 page ads not including additional cost if ads aren't "camera ready." I figure 2-1/4's and 2-1/2's for approx. $350. I don't expect Bill Davis and CJC to do my ads for free.
Postage. A guess of $40 to mail flyers to past participants, club directors, and others who help get the word out.
I don't know if hotel's require a deposit, I expect they do. Advance registration is helpful here not for just pre-tourney expenses, but to get a feel for the size of the turnout and perhaps being able to adjust to a smaller or larger room with the hotel.
Trophies. I'll use Ray's $600 figure.
Tourney give-aways to all participants. T-shirts, coffee mugs, doubling cubes, keychains, or whatever I think a minimum of $500 and that's probably conservative.
So far we're at nearly $1800 before any hotel deposit. BTW, hotel's expect you to deliver a certain number of guest room nights in exchange for providing a special room rate. I don't know the consequences of failing to meet the minimum. Does the TD have to make up for the rate the hotel provided?
Also figure some compensation for the tournament staff, although maybe this is a profit-sharing deal.
All this needs to be covered by the rake and any registration fees. Looks like most sponsorship money is drying up, Snowie Group at least honoring the long-term committments they made. I have no idea about other sponsorship opportunities. It's only thru the sponsors that some events are able to offer 100% return.
I do expect players to "caveat emptor" regarding their fees. Although I agree that it would be convenient if TDs would respond that they have received the check. I can't afford to pre-pay a tourney and then have to pay cash on-site because my original payment got lost.
Just my thoughts. Experienced TDs feel free to comment.
